Import a timetable from WebUntis  into Smartschool Planner

What does the link with WebUntis entail?

The link between WebUntis and Smartschool’s Planner module means you no longer need to export a file from WebUntis to import it in Planner. All elements from the timetables are sent to Smartschool automatically, which saves administrators quite a bit of time.

Activate the link with WebUntis

Step 1 - Activate the link in WebUntis

1. Open WebUntis.
2. Ga naar 'Administration'.
3. Kies voor 'Platform'.
4. Zoek 'Smartschool'.
5. Volg de instructies op de pagina in WebUntis.

Step 2 - Confirm the link in Smartschool

1. Before activating the link with WebUntis, you need to make sure certain elements in Smartschool are set up correctly.
   • Places/Locations: Through a database in the platform, you create a liste wit hall possible locations, classrooms… at the school.
   • Timetable codes: In the user management of the platform, you add a timetable code (Roostercode) for every class and every teacher. This code corresponds with the class and teacher codes in WebUntis.
   • Courses: In the management part of the Planner module, you create a list of courses with a timetable code (Roostercode) per course. These codes correspond with the course codes in WebUntis.
2. Go to WebUntis.
3. Copy the Tenant ID
4. Open the management part of the Planner module.
5. Click on ‘Roosterbestand’ (Timetable) and select ‘WebUntis’
6. Paste the Tenant ID.
7. Click on 'WebUntis koppelen' to link WebUntis.

Update timetables in Planner through the link with WebUntis

When the link with WebUntis is active, you no longer need to import a timetable file (.XML-file). From the management part of the Planner module, you decide which classes and teacher sneed tob e update and for which period of time.

1. Open the management part of the Planner module.
2. Click on ‘Roosterbestand’ (Timetable) and select ‘WebUntis’.
3. Select the periode of time, the classes and the teachers you wish to update.
4. Click on 'Planner updaten'. Upon clicking this button, Smartschool retrieves all elements for the selected period, classes and teachers from WebUntis. The changes you made in WebUntis are automatically applied tot he Planner module.

Sever the link with WebUntis

When you break the link with WebUntis, you’ll need to import a timetable file (.XML) in order to update the timetables in the Planner module.

1. Open the management part of the Planner module.
2. Click on ‘Roosterbestand’ (Timetable) and select ‘WebUntis’.
3. Click on ‘Koppeling verbreken’ (Sever the link) in the green bar.
4. Confirm that you wish tos ever the link.
