If you enter time and again the same texts, you can define them as description (go to "Data | Miscellaneous data | Descriptions) and can select them here.
You can enter any text you want for the substitution (also see chapter: "Substitution text).
A check shows that this substitution line is a cancellation.
The "Additional supervision" column cannot be edited and shows whether this is a supervision or not (also see chapter: "Supervisions").
A number greater than 0 in this column shows that this substitution line is coupled with another, see chapter: Substitution coupling.
When you newly create or change a substitution in the current working session, this substitution is marked with "New". A working session starts when you open your Untis data file. The "New" code remains until you close the file (i.e. Untis).
If you only want to print these newly created substitutions, you can activate "Only new substitutions" by clicking on the "Page layout" icon .
Room booking from WebUntis
A check in this field means that this is a room booking imported from WebUntis.
You can lock already edited substitutions by clicking on the <Lock substitutions> button in the toolbar which prevents hat they are changed in any way.
Reason of absence
Here you see a list of reasons of absence (see chapter: "Reason of absence").

When an assigned substitute teacher is not in school (according to his/her timetable) in the time between assigning him/her to a substitution until the substitution is due, and it is impossible for him/her to know about the substitution he/she was assigned to, then this box is checked. The substitute teacher must be notifies separately.
When a substitution is counted positively or negatively, it is shown here (see chapter: "Substitution counter).
This column creates an empty field when printed, for the substitute teacher to confirm.
In some schools, the substitution counter is not calculated according to the number of substitutions and cancellations but according to the value units defined for the lessons. The value of every single substitution case is shown here and can also be edited here.
For interaction with WebUntis, it is defined via the student group which students are taking part in the lesson. The name of the student group is taken over from the coupling line of the lesson. If the compilation of the students in the case of a substitution deviates from the one of the lesson, you can change this here.
This shows the department which belongs to a substitution line.
If you work with Untis MultiUser, this column shows to you which user worked last on this substitution line.
When you move your mouse cursor over the heading of the substitution or absence window, you can automatically adjust the width of the column by a right-click.
You can choose from several column widths:
- Adjust column width: The column you clicked on is adjusted to the ideal width of the column heading.
- Adjust all columns: All columns of the window are adjusted to their ideal width.
- Adjust all columns to their content: The width of the column is adjusted to the ideal width of the content (e.g. the "Period" column is not adjusted to the heading but to the name of the period 1,2 3...).
The following keyboard shortcuts can be used as an alternative:
- Ctrl. - E: The columns are adjusted to their ideal width;
- Ctrl. -F: The columns are adjusted to the width of their content;
Visualisation of clashes
If a clash occurs for a teacher or a room due to retrospective modifications of the timetable or due to simultaneous working on the substitution timetable in MultiUser mode, the respective field is highlighted in yellow and is displayed with a red margin. The substitution number is shown in red.
