If you want to export data to WebUntis, open 'File | Import/Export | Untis | WebUntis' in Untis
or click on the respective icon in the quick access toolbar on the left.
A dialogue window opens, where you can enter connection parameters via the "Settings" button. You will receive the connection parameters after ordering WebUntis.
Enter the host name of the server on which your WebUntis instance is running in the
'Web server' field (e.g. urania.webuntis.com). Do neither enter a protocol (such as http://), nor a port, nor a name of a site. 80 usually is the port (unless you have different system settings).
'School name': Enter the abbreviation of your school's name in WebUntis; 'User name' and 'Password': enter the data of a WebUntis user with the respective rights. The user in WebUntis is by default 'Untis'.
If you want to use the 'https' option, then change the port to 443.
This user is assigned to the user group 'Untis', which only has the right 'Access via Untis'.
Click on the 'Export' button to transfer the name of the school, the school year, the time grid, holidays, subjects, classes, teacher, rooms, students (with 'Student timetable' or 'Course scheduling' module) and departments to WebUntis. This data export is independent of the set time range.
The "Combine partial classes" option only has an impact, if you work with class groups in Untis, i. e. when the lesson of a real class is split between several logical classes. When you activate this option, such partial classes are combined to one class for WebUntis. They are combined according to the entry in the "Main class" field.
As long as no master data are modified, it is sufficient to export the master data once at the beginning of the school year. This export can be repeated at any time without any risks whatsoever. Please note that master data elements can only be modified and created anew in WebUntis, however, they cannot be deleted.
If you want to modify master data during the school year (after master data have already been exported to WebUntis), you also need to modify them in WebUntis.
Click on the >Lessons> button, and lessons and timetable (i.e. scheduled lessons), and if available, substitution data are exported to WebUntis. The transfer or export starts with the date shown left to the button.
The first export of lessons should be carried out at the beginning of the school year. If the school year has already started, click on the 'Start date' option and select 'Beg. of school year'. The start date always overwrites the default start date of lesson and substitution exports.
You only need to export lessons, whenever lessons and/or the timetable has been modified in Untis.
When you transfer lessons, realy synchronisation takes place in WebUntis. This means that lessons are not only created anew, they are also deleted, if necessary. A lesson transfer should, therefore, always take place at the latest possible transfer date (usually the date as of which the new timetable is valid), so that the least possible data are affected in WebUntis.
Finally, you can export all substitutions. In most cases, substitution export is to be done at least once a day.
The data export is carried out directly from Untis to WebUntis via the http protocol. The actual data import is carried out asynchronically, i.e. as soon as all data have been received by the server, the connection between Untis and WebUntis is disconnected, and WebUntis writes the data into its database thereafter.
Untis, therefore, can only report export errors but no import errors. Possible import errors are sent to the e-mail address defined in WebUntis in the 'E-mail address timetabler' field under <Administration> | < Settings>.
Please note that master data elements (such as rooms, teacher, classes) are synchronised via short names in WebUntis. If you need to change a short name, you need to change it in both Untis and WebUntis. This is the only way possible that elements are continuously synchronised correctly. Otherwise, elements with the old short name remain existent in WebUntis, and additionally new elements with the new name are created. Please note that master data elements (such as rooms, teachers, classes) are synchronised via short names in WebUntis. If you need to change a short name, you need to change it in both Untis and WebUntis. This is the only way possible that elements are continuously synchronised correctly. The time of the last data up-date by Untis is shown in the timetable in WebUntis in the left bottom corner below the timetable.
