This option is used for substitution views for students. If a period is cancelled but another event is taking place like, for instance, an examination, the cancellation is not displayed. In the page layout window, which you can open from the substitution window, you have all settings you need for editing the display.
This window is split into segments: On the right side, you can change settings, and on the left you instantly see the effect of your changes.
In the following we will describe how you can make a selection, structure the list, change the layout and many things more.
The meanings of the different icons of the page layout toolbar are shown in the graph below:
If you move your mouse in the page layout over one of the icons, a tooltip shows its use.
Headings / page
The following possibilities are provided on the left side of the page layout:
Here you define, what is to be shown in the header and in the footer.
These settings are used for all reports generated from Untis.
Headings of lists
Here you can change the heading of the respective display/print out.
The name of the individual columns can also be changed.
Show and hide columns
You can hide or show columns with drag and drop.
Order of columns
If you want to change the order of the columns, click and hold a column in the centre and drag it to the place you want it.
You can change the width of every visible column here.
The settings of the page layout can be changed for every individual format.
You can define the row height in the page layout window by changing the blue lines. This feature has been provided since Untis 2019.
Print/display only for changes after a certain time
The substitution list which was displayed or put on the notice board in the morning or on the day before, is in many cases added or changed at least once or several times a day. All substitution cases can be printed or displayed from the last point of editing in order to avoid publishing them for a second time or missing a substitution.
You can choose the date and the time of the last printout/display to print/display the current changes in the print selection.
The advantage compared to indicating new substitutions (check "New") is that Untis can be opened and closed several times between two printouts/displays.
On the right side in the upper part of the window you can define a few general settings:
Print heading on every page
If your print is longer than one page, the heading, i.e. the first row will be printed/displayed on every page.
If you activate this setting, every column will show a grid.
&Restrict to page width
When checking this option, the number of columns does not exceed the page width. All columns which do not fit on the first page are then not printed or displayed.
QR code in the header
This feature generates a QR code which is printed in the header of the in the upper part. If your students or teacher scan this code, you are automaticall forwarded to the WebUntis login page of your school.
A background image (e.g. the school logo or the logo of a sponsor) can be added to the substitution timetables.
There are three options you can choose from the selection:
New substitutions only
If you check this option, only substitutions are shown, which have been created since Untis was last opened.
Don't print absent teachers
With this option, you can surpress that absent teachers and classes are included in the substitution list. You can save a lot of precious space.
Also elements without substitutions
Elements are listed here which are not effected by the substitution. This is the reason why the format needs to be structured by headings (teachers or classes).
In this section, you can set vertical sortings and < when required - show and adapt headings for the respective elements.
Heading / element
The substitution list is printed/displayed in tables. Intermediate headings can be displayed for better readability.
The heading on which the sorting of the list is based on, is displayed.
You can define the formatting of the heading (size, short or full name, etc.) by clicking on the <Heading> button in the lower section of the window.
The list can also be printed or displayed with small headings ("Small headers") in order to save space.
One page per element
If you want to start a page for every heading, activate "1 page / element". This setting is usually used, if you print or display lists for several days, and every day is to be printed/displayed on a single page.
You have the possibility to sort the view hierarchically and by different columns by clicking on the <Sorting> button.
The order of the substitution teachers in the printout or display follows the sorting of the teachers in the master data. If a teacher was dragged and dropped to first position, he or she will also be ranked first in the substitution printout/display.
In this section, you have additional possibilities to adapt the display/printout:
If you check this option, the teacher whose period is cancelled, is striked through and is also shown in the "Substitute" column.
This makes it possible to assign the cancellations to the teachers in sorted lists.
Comb. class names
Several classes of coupled lessons can be combined under one name. If a lesson of the classes 1a, 1b and 1c is cancelled, it is printed/displayed as 1abc in the substitution printout/display.
In the timetable mode, you can define period names instead of period codes in the time grid. If you chose your own period names, you can also show themin the substitution list.
Print master data in a single field
You check this box, if you want to display/print changes in classes, teachers, subjects and rooms not in two separate, but in one field. You safe space and the readability is increased.
When a double period or a block of a single teacher is imported, you can show this in a condensed way with this feature.
No cancellation when prd. replaced
This option is used for substitution views for students. If a period is cancelled but another event is taking place, for instance, an examination, the cancellation is not displayed/printed. If you want to use this option, it is necessary that your substitution format is sorted by "classes", and that you use one heading per element, this can also be displayed/printed in a condensed way.
The substitution data can either be printed/displayed with or without an absence header. The absence header shows absent classes, teachers and rooms, as well as the names of the affected elements. Optionally, the absent teachers can be displayed/printed with their absence reasons.
You have the possibility to exclude sensitive absence reason from printing/displaying. You need to check the box "Not in Abs.Head" for the respective absences in the absence reason window.
The names of the substitution teachers can also be shown in the absence header. This makes it easier for all teachers to check, if they are affected by a substitution on a specific day and do not need to read through the entire substitution list.
On the "Global" tab, you can define different settings, which have an effect not only on this substitution format but 'globally' on all substitution formats.
You can define the font size of the text in the absence head with this slider. Additionally, you can print/display a frame around the absence head. The "Header (absences) not for events" has the effect that teachers and classes who are at an event are not displayed/printed in the absence head.
In the "Full name" section, you can define for different elements that the full name is displayed/printed in the absence header.
