You have several possibilities to display current substitution data:
Via WebUntis and the Untis Mobile app for Android and iOS, teachers and students can get informed on any up-dates of their timetables at any time.
The substitution lists or substitution data in timetable format can certainly also be printed.
Displaying information and data on a screen or monitor, for instance in the entrance area of a school via WebUntis or in HTML format saves paper, can be up-dated quickly and is available at any time and everywhere (internet, intranet). These unbeatable advantages have lead to a real boom of this variant in the last years.
Substitution information can also be sent via e-mail or text message (the only requirement is that you have the "Info-timetable" module). All possibilities are described in detail in the following chapters.
Setting up substitution lists
Substitution lists are generally displayed for teachers and students separately, since the displayed information and the sorting of the data should be different. In the following you will find a description of how separate lists, one for teachers and one for students can be created. This is the reason why you need a separate substitution view for teachers, which can be adapted independently of the students' list at any time . The following three steps are necessary to create a teacher and/or a student list:
How to create a substitution list
Follow the description below for creating a substitution view:
- Open the drop down box at the bottom right margin of the window and select "Save view as..."
- Give the new list a descriptive name (e.g. TELI - teacher list).
- Confirm with <OK>..
You now have created a new substitution format, and can select it from the selection field in the substitution list.
All substitution formats can be accessed via:
- the "Cover scheduling formats" button in the multi-functional bar
- the context menu of the right mouse key under "Cover scheduling formats".
How to show required information
This is what you need to do in order to show all the information which should be displayed:
Open the newly created view and click on the <Grid adjustment> . Check the "Active" box next to all those fields which should be printed or displayed. Remove the check in the boxes of all the fields you do not want to be displayed/printed.
The fields in brackets such as "(Teacher)" show the element which needs to be substituted, i.e. the absent teacher, the class which is not present, the subject which should have been taught according to the timetable, or the room which is not available.
The "Subst.no." field cannot be hidden due to technical reasons. If you do not want the number to be displayed or printed, remove the check in the "Print" field.
You can edit this format in the page layout. You can add or remove fields at a later point in time there, as well.
How to adjust colours and terminology
You can give the individual substitution types different colours (e.g. room substitutions in yellow and cancellations in red), in order to make the display of substitution data clearer. Go to "Settings | Substitution Planning | Colours and terminology" for assigning colours to the different elements. Colour codings is often used for HTML display (see chapter HTML display ). Here in this window, you can also change predefined terms such as "Cancellation" or "Supervision". The term you enter is shown both in the substitution list and when displayed.
The <Sorting> button you define which criteria are to be applied for the sorting of the substitution list. This sorting is saved and is permanently applied for this substitution format.
How to display/print several days
If you want the substitution window to be displayed for several days (or if you want to have a print out over several days), select "from", "to" via the <Calendar> button. You will see two fields with dates. Now set the second date to the day after the following day - all substitutions of these three days are displayed.
If you want to keep this range of days even for a change of date, "freeze" it by clicking on the lock icon.
If you want the list to be displayed or printed for a span of several days, the list should first of all be sorted by date so that both days are clearly separated from each other. You also have the possibility to print both days on one page at a later point in time.
Do not display/print substitution rows
If you want certain substitution rows not to be displayed/printed, just check the boy in the "Don't print (N)" column in the substitution view.
If a subject shows the "Do not print" flag in the master data, substitution cases with this subject are in general not printed.
